Terms & Conditions

These Terms & Conditions apply to all classes, workshops, parties and events run by The Art Loft CIC (“we”, “us”, “our”). By booking a place, you agree to the following terms.

 

 

1. Bookings & Payments

 

  • All classes, workshops and events must be booked and paid for in advance.

  • A place is only secured once full payment has been received.

  • Term classes are sold as a block and cannot be split, shared or transferred.

  • Prices are correct at the time of booking and may change for future terms or events.

 

 

2. Cancellations, Missed Sessions & Refunds:

 

Term Classes

 

  • Once a term has started, bookings are non-refundable.

  • If a child misses a session due to illness or unavoidable circumstances, we are happy to offer up to three (3) catch-up sessions per term, subject to availability.

  • Catch-up sessions:

    • must take place within the same term

    • must be booked in advance

    • will be arranged in a suitable alternative class, as agreed by The Art Loft

  • Catch-up sessions cannot be carried over to future terms.

  • No refunds or credits are offered for:

    • holidays or planned absences

    • sessions missed beyond the three catch-up allowance

    • late arrival or early collection

  • Missed sessions without notice may result in the catch-up option being unavailable.

 

 

Workshops & Short Courses

 

  • Cancellations made more than 7 days before the start date may be eligible for a credit.

  • Cancellations within 7 days of the start date are non-refundable.

 

 

If We Cancel

 

  • If we cancel a session, we will offer a replacement session, credit or refund, where appropriate.

 

 

3. Trials Sessions

 

  • Trial sessions are subject to availability.

  • Trial bookings are non-refundable, unless cancelled by us.

  • A trial session does not guarantee a place in a full class.

 

 

4. Age Groups & Class Placement

 

  • Age ranges are provided as a guide only.

  • We reserve the right to move a child to a more suitable group if it better supports their safety, development or confidence.

  • All classes are mixed-ability and activities are differentiated accordingly.

 

 

5. Behaviour & Safety

 

  • Children are expected to behave respectfully towards others, staff and materials.

  • Disruptive or unsafe behaviour may result in a child being withdrawn from a session.

  • In serious or repeated cases, we reserve the right to cancel a child’s place without refund.

  • Parents/guardians must inform us of any medical conditions, allergies, SEN or additional needs at the time of booking.

 

 

6. Drop-off & Collection

 

  • Children must be dropped off and collected on time.

  • Children will only be released to authorised adults listed on the booking form.

  • For safeguarding reasons, parents and carers are not permitted to remain in sessions unless explicitly invited.

 

 

7. Clothing & Personal Belongings

 

  • Art can be messy; children should wear suitable clothing.

  • We are not responsible for loss or damage to personal belongings.

  • Lost property will be kept for a limited time before being donated or disposed of.

 

 

8. Materials & Artwork

 

  • All standard materials are included unless stated otherwise.

  • Artwork should be collected promptly.

  • Due to space limitations, we cannot store artwork long-term.

 

 

9. Photography & Media

 

  • Photographs or videos may be taken for marketing and documentation purposes with parental consent.

  • Children’s names are never published.

  • Consent can be withdrawn at any time by contacting us.

 

 

10. Parties & Private Events

 

  • A deposit is required to secure party bookings.

  • Deposits are non-refundable.

  • Final guest numbers must be confirmed in advance.

  • Any damage beyond reasonable use may be charged to the booking party.

 

 

11. Liability

 

  • We take reasonable steps to ensure a safe and supportive environment.

  • Participation is at your own risk.

  • We are not liable for injury unless caused by proven negligence.

  • Nothing in these terms affects your statutory rights.

 

 

12. Programme Changes

 

  • We reserve the right to make reasonable changes to tutors, schedules or content where necessary.

  • Any significant changes will be communicated in advance.

 

 

13. Data Protection

 

  • Personal data is handled in accordance with UK GDPR.

  • Information is used solely for booking, safeguarding and communication purposes.
